Last updated: 24 October 2026
This privacy policy explains how Four Prop collects, uses, shares and protects your personal information when you visit thefourprop.com (the "Site"), buy from us, contact us, sign up to our emails or enter one of our prize draws. It also explains your rights and how to use them.
1. Who we are
The Site is run by Four Prop Group Limited, trading as Four Prop ("we", "us", "our"), a company registered in England and Wales with company number 15094309. Our registered address is 4 Cranwell Road, Locking Parklands, Weston-super-Mare, North Somerset, BS24 7GF, United Kingdom.
We are the controller of the personal information described in this policy. If you have any questions, or want to use any of your rights, email us at info@thefourprop.com or write to us at the address above.

Information collected automatically
When you use the Site we, and the services we use, collect information about your device and how you use the Site. This includes your IP address, browser and device type, the pages you view, the products you look at or add to your basket, the website or advert that brought you to the Site, and the date and time of your visit. This is collected using cookies, pixels and similar technologies (see section 6).
Information from other sources
We receive confirmation of payment and fraud checks from our payment providers. If you reach us through an advert on Facebook or Instagram, Meta may tell us that a visit or purchase came from that advert.
3. How we use your information, and our legal basis
Data protection law requires us to have a legal basis for each way we use your information. These are ours:
- To take, make and deliver your order, including personalising your item, taking payment, sending order and delivery updates, and handling returns. Legal basis: performing our contract with you.
- To answer your questions and provide customer service. Legal basis: our legitimate interest in looking after our customers, or performing our contract with you.
- To send you The Briefing and other marketing emails. Legal basis: your consent.
- To run prize draws, including checking eligibility, choosing and contacting the winner, sending the prize and preventing fraud. Legal basis: performing the promotion terms you accepted when you entered.
- To publish reviews you send us. Legal basis: your consent.
- To understand how the Site is used and improve it, and to measure our advertising. Legal basis: your consent, given through our cookie banner.
- To show you relevant adverts on Facebook and Instagram. Legal basis: your consent, given through our cookie banner.
- To keep the Site and payments secure and prevent fraud. Legal basis: our legitimate interest in protecting our business and customers.
- To keep business and tax records and meet other legal obligations. Legal basis: legal obligation.
4. Our emails: The Briefing
We only send you marketing emails if you have asked to receive them, for example by ticking the box on our sign-up or prize draw forms. Signing up is always optional. When you sign up, we record what you agreed to, when, and where you signed up.
You can unsubscribe at any time using the link at the bottom of every email, or by emailing us. Our emails contain technology that tells us whether an email was opened and which links were clicked. We use this to improve our emails and to stop emailing people who are no longer interested.
Even if you do not subscribe, we will still send you service emails about your orders.
5. Prize draws and competitions
Each prize draw has its own terms, which explain how it works and how we use entrants' information. Entering a prize draw does not sign you up to our marketing emails unless you choose to by ticking the separate box.
If you win, we will use your details to contact you and send your prize. As the terms of each draw explain, we may also publish your first name, surname initial and county to show that the prize was awarded. We will not use your photograph or story in any other publicity without your separate agreement.
6. Cookies and similar technologies
Cookies are small files stored on your device. We use:
- Essential cookies to make the Site work, for example to keep items in your basket and process checkout. These cannot be switched off.
- Analytics cookies to understand how visitors use the Site, through Shopify, PageFly and Klaviyo.
- Marketing cookies and pixels to measure and personalise our adverts, through the Meta (Facebook) Pixel and Klaviyo.
We only use analytics and marketing cookies if you accept them in our cookie banner. You can change your choice at any time through the cookie settings link on the Site, or by clearing cookies in your browser. You can also control the adverts you see on Facebook and Instagram in your Meta account's ad settings.
7. Who we share your information with
We do not sell your personal information. We share it only with organisations that help us run our business. They may only use it to provide their service to us, or under their own privacy policies where they act independently, as with payment providers.
- Shopify: runs our online shop, checkout and customer accounts.
- Payment providers: Shopify Payments, PayPal, Apple Pay, Google Pay, Klarna and Clearpay process payments and carry out fraud checks. If you choose Klarna or Clearpay, they may carry out their own credit or affordability checks under their own privacy policies.
- Klaviyo: sends our emails and stores email subscriber and prize draw entry details.
- Meta Platforms (Facebook and Instagram): advertising and the Meta Pixel.
- Loox: collects and displays customer reviews.
- Tidio: provides the live chat on our Site.
- PageFly: builds some of our Site pages and measures how they are used.
- Delivery companies: deliver your orders and prizes.
- Professional advisers such as accountants and lawyers, where needed.
- Authorities such as HMRC or the police, where the law requires us to.
If our business is sold or restructured, your information may be transferred to the new owner, who will be bound by this policy.
8. International transfers
Some of the services we use, including Shopify, Klaviyo, Meta, Loox, Tidio and our payment providers, store or process information outside the UK, including in the United States, Canada and the European Economic Area. Where this happens, the transfer is protected by UK adequacy regulations, the UK International Data Transfer Agreement or Addendum, or the UK Extension to the EU–US Data Privacy Framework, as appropriate.
9. How long we keep your information
- Orders and payments: 6 years after the end of the financial year of your order, as required for tax and accounting purposes.
- Customer accounts: until you close your account, then as for orders.
- Email subscribers: until you unsubscribe. After that we keep your email address on a "do not email" list so we do not contact you again by mistake.
- Prize draw entries: deleted within 3 months of the draw closing, unless you also subscribed to The Briefing. The winner's details are kept for as long as we need them for legal and accounting reasons.
- Messages and live chat: up to 2 years after our last contact with you.
- Reviews: for as long as they are published on the Site.
- Cookies: for the periods set by each cookie, which you can see and clear in your browser.
10. Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal information we hold about you;
- ask us to correct information that is wrong or incomplete;
- ask us to delete your information;
- ask us to restrict how we use your information;
- object to us using your information on the basis of our legitimate interests, and to stop direct marketing at any time;
- ask us to transfer information you gave us to you or to another organisation; and
- withdraw your consent at any time, where we rely on it. This does not affect anything we did before you withdrew it.
To use any of these rights, email info@thefourprop.com. We will reply within one month. We may need to confirm your identity first. There is normally no charge.
If you are unhappy with how we have handled your information, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.
11. Automated decisions
We do not make decisions about you that have legal or similarly significant effects based only on automated processing. Klarna and Clearpay may use automated checks to decide whether to offer you their payment options. Their own privacy policies explain how.
12. Keeping your information safe
We use trusted service providers with appropriate security, limit access to the people who need it, and the Site uses encrypted (HTTPS) connections. No method of sending information over the internet is completely secure, but we take reasonable steps to protect your information.
13. Children
The Site and our prize draws are intended for people aged 18 and over. We do not knowingly collect information from children. If you believe a child has given us their information, please contact us and we will delete it.
14. Changes to this policy
We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated at the top. If we make significant changes, we will tell you by email or on the Site where appropriate.
